Data Deletion Instructions

This page explains how you can request the deletion of your personal data that Decoding IT has collected through our IT Service Management (ITSM) platform and associated services, including WhatsApp Business notifications.

We honour deletion requests in accordance with applicable data protection laws in the regions we operate:

What Data We Hold About You

Depending on your role (staff or customer), we may hold the following personal data:

  • Name, email address, and WhatsApp-registered phone number
  • IT service ticket history (tickets you created, were assigned to, or were notified about)
  • WhatsApp notification delivery logs
  • Login and access activity logs for our portal
  • Account settings and preferences

How to Request Data Deletion

Submit a Deletion Request

  1. Send an email to privacy@decodingit.com with the subject line: "Data Deletion Request"
  2. Include the following in your email:
    • Your full name
    • Your email address registered with our platform
    • Your WhatsApp number (if you received notifications from us)
    • Your organisation name (if applicable)
    • Whether you want partial deletion (e.g. only WhatsApp data) or full account deletion
  3. We will acknowledge your request within 5 business days
  4. Deletion will be completed within the timeframes listed below

Deletion Timeframes

Data Type Deletion Timeframe
WhatsApp phone number and notification logs Within 14 days of verified request
Account profile (name, email, preferences) Within 30 days of verified request
Ticket records linked to your account Within 30 days, subject to retention obligations below
Access and activity logs Within 30 days of verified request

Jurisdiction-specific deadlines:

  • 🇴🇲 Oman: Within 30 days as required under Royal Decree No. 6/2022
  • 🇦🇪 UAE: Within 30 days as required under Federal Decree-Law No. 45/2021
  • 🇮🇳 India: Within 30 days as required under the DPDPA 2023

What Happens After Deletion

Once your data is deleted:

  • Your account will be deactivated and you will no longer receive WhatsApp notifications from us
  • Your personal identifiers will be removed or anonymised from our records
  • You will receive a written confirmation by email once deletion is complete
  • Deletion is irreversible — your data cannot be recovered after this process

Data We Are Required to Retain

Note: Certain data may not be eligible for deletion where we have a legal obligation to retain it. In such cases, we will inform you of the applicable retention period and the legal basis.

We may be required to retain certain data despite a deletion request in the following circumstances:

  • Legal and regulatory compliance: Records required by tax, audit, or regulatory law in Oman, UAE, or India
  • Active legal proceedings: Data that is subject to an ongoing dispute, investigation, or court order
  • Employer / organisational obligation: Where your employer (as our customer) has a legitimate business requirement to retain service records
  • Fraud prevention: Logs required to prevent or investigate abuse of our platform

In all such cases, retention is limited to the minimum period required and the data is not used for any other purpose.

WhatsApp / Meta Data

Our WhatsApp notifications are delivered via the Meta WhatsApp Business API. When you request deletion of your data from us, we will also remove your phone number from our messaging lists and stop all future notifications.

However, for any data that Meta Platforms, Inc. holds independently (such as message history on your own device or within WhatsApp's infrastructure), you must contact Meta directly:
